The Organiser will confirm availability and provide separate pricing for accompanying guest accommodation.
The following conditions apply to all accompanying guests without exception:
• The accompanying guest is not a Retreat Participant and will have no access to any training sessions, workshops, scheduled activities, meals, transfers or any other element of the Retreat programme
• The accompanying guest is entirely responsible for making their own arrangements for meals, activities and entertainment during all Retreat programme hours
• The accompanying guest's accommodation costs are entirely separate to the Retreat ticket price and will be quoted and invoiced independently
• The Organiser accepts no responsibility for the welfare, activities, safety or expenses of any accompanying guest during the Retreat or associated travel
• All accompanying guests must be aged 18 or over
• The Participant is fully responsible for the behaviour and conduct of their accompanying guest throughout the duration of the Retreat and any associated extended stay — see Section 17

Extended Stays
Participants who wish to extend their stay in Rhodes before or after the Retreat dates may request this at the time of booking. Where possible, the Organiser will endeavour to secure an extended stay at agent rates at the Sheraton Rhodes Ixia, subject to hotel availability. This is offered as a courtesy and cannot be guaranteed. Any extended stay costs are entirely separate to the Retreat ticket price and are the sole financial responsibility of the Participant.
To request an accompanying guest room or an extended stay, please notify the Organiser in writing at the time of booking.

9. FLIGHTS & ARRIVAL
Flights to and from Rhodes are entirely the responsibility of each individual Participant and are not included in the Retreat ticket price.
Participants are required to make their own flight arrangements and must arrive at the Sheraton Rhodes Ixia no later than 2:00pm on Friday 02 October 2026 in order to participate in the full programme from the scheduled 4:00pm start.
The Organiser has researched available flight options from the UK and will share these with confirmed Participants to assist with planning. However, the Organiser accepts no responsibility for the availability, pricing, punctuality or operation of any flights.
Participants who arrive after the programme start time due to late or delayed flights will not be entitled to any refund or compensation for missed sessions. Participants who miss the Retreat entirely due to flight issues will be treated in accordance with the cancellation policy in Section 11.
It is strongly recommended that all Participants book their flights as early as possible, particularly as the Retreat falls during the peak autumn half-term travel period.

10. TRAVEL INSURANCE
It is a condition of booking that all Participants arrange their own comprehensive travel insurance prior to the Retreat. Your insurance policy should include as a minimum:
• Cancellation and curtailment cover
• Medical expenses and emergency repatriation
• Personal liability
• Loss of personal belongings and baggage
As this Retreat is a professional training event, it is strongly recommended that Participants confirm with their insurer that their policy covers overseas professional training activities. Standard leisure travel insurance policies may not automatically extend to cover professional or business-related travel. Participants who hold their own public liability insurance for their travel business are additionally recommended to confirm that this extends to overseas training events.
The Organiser accepts no liability for any costs, losses or expenses incurred as a result of a Participant failing to hold adequate travel insurance.

11. CANCELLATION BY THE PARTICIPANT
All bookings are non-refundable, subject to the conditions set out below.
Cancellation with Resale — More than 14 days prior to the Retreat
Participants who wish to cancel their place and request a resale of their ticket must submit their cancellation in writing to the Organiser by email no later than 14 days prior to the start of the Retreat — by 16 September 2026 at the latest. The following applies:
• The Organiser will make reasonable efforts to resell the cancelled place to another eligible Participant within the time available
• There is no guarantee that the place will be resold
• If the place is successfully resold, a refund of the original amount paid less a 10% administration charge will be issued to the cancelling Participant within 14 days of the replacement Participant's payment being received
• If the place cannot be resold, no refund will be issued
Cancellation within 14 days of the Retreat
Cancellations received within 14 days of the Retreat start date — after 16 September 2026 — will be subject to a full cancellation fee regardless of whether the place is subsequently resold. No refund will be issued under any circumstances for cancellations received within this period.
All cancellations must be submitted in writing to the Organiser by email. The date of the written cancellation notice will be used to determine which terms apply. Verbal cancellations will not be accepted.

12. CANCELLATION BY THE ORGANISER
The Organiser reserves the right to cancel the Retreat in the event of:
• Insufficient Participant numbers to run the event viably
• Force majeure — see Section 13
• Any circumstance that renders it unsafe or impractical to proceed
In the event of cancellation by the Organiser, all Participants will be notified as promptly as possible in writing. The Organiser will make every effort to reschedule the Retreat to an alternative date in accordance with Section 14. If the Retreat is cancelled and cannot be rescheduled, a full refund of the Retreat ticket price will be issued to all Participants within 28 days.
The Organiser's liability in the event of cancellation is limited to the refund of the Retreat ticket price only. The Organiser accepts no responsibility for any additional costs incurred by Participants, including but not limited to flights, accommodation booked independently, travel insurance premiums or any other associated costs. This is why comprehensive travel insurance with cancellation cover is strongly recommended — see Section 10.

13. FORCE MAJEURE
The Organiser shall not be liable for any failure or delay in performing its obligations under these Terms & Conditions where such failure or delay results directly or indirectly from any cause beyond the Organiser's reasonable control. Such events include but are not limited to:
• Acts of God, including earthquakes, floods, storms or other natural disasters
• Pandemic, epidemic or public health emergency
• Government action, travel restrictions, border closures or changes in law
• War, terrorism, civil unrest or political instability
• Fire or explosion
• Airline failure, industrial action or transport disruption
• Failure of third-party suppliers, venues or service providers
In the event of a force majeure, the Organiser's obligations under these Terms & Conditions will be suspended for the duration of the event. The Organiser will notify Participants as promptly as possible and will make every reasonable effort to reschedule the Retreat in accordance with Section 14. If rescheduling is not possible, a full refund of the Retreat ticket price will be issued. The Organiser shall not be liable for any additional losses, costs or expenses incurred by Participants as a result of a force majeure event.
________________________________________
14. RESCHEDULING & ADDITIONAL COSTS
In the event that the Retreat is required to be rescheduled due to force majeure, unforeseen circumstances or any event outside the Organiser's reasonable control, the following applies:
• The Organiser will communicate the proposed rescheduled dates to all Participants as promptly as possible
• Participants will be given the option to transfer their booking to the rescheduled dates or request a full refund of their Retreat ticket price
• Where a rescheduled Retreat takes place at a different time of year, or where costs associated with the event have increased as a result of the rescheduled dates — including but not limited to accommodation rates, venue hire, supplier costs or seasonal pricing differences — any additional costs arising from those changes will be passed on to Participants on a pro-rata basis
• Participants who do not wish to pay any additional costs arising from rescheduling may request a full refund of their original Retreat ticket price in lieu of transferring to the new dates
• The Organiser will provide a full breakdown of any additional costs clearly and transparently before requesting payment. Participants will have a minimum of 14 days to confirm their decision to transfer or request a refund
• The Organiser accepts no liability for any costs incurred by Participants as a result of rescheduling, including but not limited to flight changes, cancellation fees or accommodation costs booked independently
________________________________________
15. MINIMUM NUMBERS
The Retreat requires a minimum number of confirmed Participants in order to proceed. In the event that minimum numbers are not reached by a date determined by the Organiser, Participants will be offered the option to transfer their booking to a rescheduled date or receive a full refund. The Organiser will provide as much notice as possible in this event.
________________________________________
16. HEALTH, FITNESS, MOBILITY, DIETARY REQUIREMENTS & ALLERGIES
Health Assessment Forms
Following confirmation of your booking, the Organiser will issue a health and requirements assessment form to all Participants. This form must be completed and returned no later than 28 days prior to the start of the Retreat — by 18 September 2026 at the latest. Failure to return the completed health assessment form within this timeframe may affect your ability to participate in certain elements of the programme. The Organiser reserves the right to make decisions regarding a Participant's suitability for specific activities based on the information provided.
Boat Trip
The Retreat programme includes a morning boat trip on the Aegean Sea. Participation in the boat trip is subject to weather conditions and the Organiser's assessment of safety on the day. Participants with existing health conditions that may be affected by sea travel — including but not limited to back conditions, heart conditions, motion sickness or pregnancy — must disclose this on their health assessment form. The Organiser reserves the right to advise against participation in the boat trip on health or safety grounds. No refund will be offered for any element of the programme not participated in due to health or safety grounds.
Mobility & Walking
The Retreat programme includes a walking tour of Rhodes Old Town, outdoor location shoots and movement between multiple venues across the programme. Participants with limited mobility, joint conditions or any physical restriction that may affect their ability to participate in walking-based activities should be aware that this Retreat in its current format may not be fully suitable for them. The Organiser is committed to running fully accessible events in the future and warmly welcomes enquiries from Participants with accessibility requirements prior to booking, so that suitability can be discussed honestly and a fully informed decision can be made.
Dietary Requirements & Allergies
All dietary requirements, food allergies and intolerances — including but not limited to nut allergies, gluten intolerance, dairy intolerance, shellfish allergies and any other medically significant dietary need — must be disclosed on a separate dietary requirements form which will be issued by the Organiser following booking confirmation. This form must be completed and returned no later than 7 days prior to the start of the Retreat — by 9 October 2026 at the latest.
The Organiser will communicate all dietary requirements and allergies to all relevant venues, catering teams and the boat trip provider in advance of the Retreat. Whilst every possible effort will be made to accommodate all dietary needs and allergies, the Organiser cannot guarantee that every venue or catering provider will be able to fully meet every requirement. Participants with severe or life-threatening allergies are strongly advised to carry appropriate medication — including any prescribed emergency medication such as an EpiPen — at all times during the Retreat, and to notify the Organiser of this on their health assessment form. The Organiser accepts no liability for allergic reactions or dietary incidents arising from the failure of third-party venues or catering providers to meet disclosed requirements.

17. PHOTOGRAPHY, VIDEO & CONTENT — PARTICIPANT OBLIGATIONS
The Retreat is a marketing and content creation training event. Photography and videography are core components of the programme. By booking, all Participants agree to the following:
Submission of Content
Content created during the Retreat — including photographs and video footage — must be submitted by each Participant to a shared drive designated by the Organiser during the event. This is a programme requirement and forms part of the training experience. Submission deadlines and instructions will be provided during the Retreat.
Use by Partner Properties
Content submitted to the shared drive will be made available to the marketing teams of the partner properties visited during the Retreat, including the Sheraton Rhodes Ixia and AMOH Lindos, for their use on social media, websites and other marketing materials. By submitting content to the shared drive, Participants grant the Organiser and the relevant partner properties a non-exclusive, royalty-free licence to use that content for marketing purposes. Participants will be credited where reasonably possible.
Appearance in Group Content
Photography and video content may be captured throughout the Retreat, including during training sessions, on location and at social occasions. The Organiser and Retreat trainers may use images and footage in which Participants appear for their own marketing, promotional and educational purposes, including on websites and social media. If a Participant does not wish to appear in any marketing materials, they must notify the Organiser in writing prior to the Retreat and the Organiser will make reasonable efforts to accommodate this request.
Ownership of Personal Content
Content created by a Participant using their own devices remains the Participant's own property and may be used freely for their own professional and personal marketing purposes. The Participant retains full ownership of their own content.
________________________________________
18. CODE OF CONDUCT & CONFIDENTIALITY
All Participants agree to conduct themselves in a respectful, professional and considerate manner throughout the duration of the Retreat, including during all scheduled sessions, social occasions, transfers and at all accommodation properties.
Confidentiality
The Retreat operates on a foundation of trust and mutual respect. Participants agree that any personal, business or sensitive information shared by fellow Participants during the Retreat will be kept strictly confidential and will not be shared, published, reproduced or disclosed outside the group in any form, including on social media.
Conduct
The Organiser reserves the right to remove any Participant from the Retreat without refund in the event of behaviour deemed to be disrespectful, disruptive, discriminatory or in breach of this code of conduct. Removal from the Retreat on conduct grounds will not entitle the Participant to any refund.
Accompanying Guests
The code of conduct applies equally to any accompanying guest. The Participant is fully responsible for the behaviour and conduct of their accompanying guest throughout the Retreat and any associated extended stay.
